How the daily tasks are created

Employees carry out tasks, but managers manage definitions. This page explains the connection between the two, and how you keep an eye on things getting done.

  1. A task is created from the schedule in the definition: for example Every day or Weekly: tue, fri.
  2. The system creates tasks for the next 7 days every night at 02:00.
  3. When you save a definition, its tasks are created immediately.
  4. The same definition never produces two tasks on the same day.

You can always force an update: press Regenerate now at the top of Tasks. The message afterwards tells you what happened, for example Generated 3 new, skipped 10. Skipped means the task already exists.

  • Each shift: if you choose the schedule Each shift, the task is only created on days where the location has a shift of the types you write under Shift types. Write the station name as it appears on the shifts. The task gets the shift name as a label on the card.
  • Closed days: with Skip days the location is closed, public holidays and closed days entered in the shift plan are left out.
  • Other schedules are independent of the shift plan.

Note: Today “my tasks” is decided by whether the task is assigned to you or open to everyone. An employee’s shift plan does not filter the list.

As a manager you see all tasks on Tasks rather than only your own:

  • Active tasks at the top: Pending, In progress and Overdue.
  • Done today (n) at the bottom: who did them (Done by …), the value entered, notes and photos.
  • Skipped is shown with reason and name.

Press thumbnails to see photos in full size. Self-check tasks and deviations are followed up further in the self-check area.

Action Effect on tasks
Edit definition Pending tasks for the next 7 days are replaced. Completed ones are kept.
Archive definition Pending tasks are removed. Completed history is kept.
Change schedule New tasks follow the new plan.

Today’s task didn’t appear. Check that the definition is Active, that the schedule hits today, and that the location isn’t marked closed. Press Regenerate now.

A task was created twice. That can happen if two definitions have the same content. Archive one of them.
